Zoom instructions made easy




ZOOM MEETING INFORMATION

1. You do not have to have a Zoom account to join a meeting.

2. Simply go to the email sent by Jacquie with the Zoom meeting information.

3. Click on the link Jacquie provided you with in that email for the class and this will open Zoom. (If this is the first time you have used Zoom you will now be prompted to download the software on your computer. This only takes a few seconds to complete.)

4. If you are using a tablet / iPad you will need to go to the app store and download the zoom app which can be done first.

5. Next go to the email sent by Jacquie with the Zoom meeting information and click on the link provided in that email. This will automatically open the Zoom app and access to the meeting Please ensure you connect to the meeting at least 15 minutes before the start of your session. (This will allow you time to download the software if you are not already a Zoom user and will also give you the opportunity to check that you can hear Jacquie’s microphone, and video.)

7. You will be held in a virtual waiting room until Jacquie invites you in at the specified start time for your session.

- Nb. FOR GROUP CLASSES, Jacquie will invite people in one at a time to give Jacquie the opportunity to make sure you’re online, you can hear and see Jacquie and vice versa.

- She will then place your microphone on mute to ensure all background noise is at a minimum for the class. However, from that moment onwards you will be visible to Jacquie and the other participants as they join.

QUICK TOOL BAR GUIDE

If you are new to Zoom here is a quick overview of the options on this toolbar you will be using in the meeting. It is very easy and if you get stuck Jacquie will guide you.

Once you are connected to the meeting, if you are using a laptop / computer you will see this tool bar at the bottom of your screen.


If you are connecting from an iPad the tool bar is normally at the top of your screen with the icons on the right hand side as shown below.


1) Mute - This is the first icon on the left-hand side of the tool bar shown below with a red circle. This turns your microphone on and off. If it is shown with a diagonal red line through it your microphone is currently on mute. To unmute just click the icon. However, Jacquie will be in control of this throughout the duration of the call and for the most part it will be on mute to keep background noise to a minimum throughout the presentation.

On a tablet / iPad if you are on mute the whole icon will show in red with a diagonal red line. To unmute just click the icon.


2) Video - this is the second icon on your left on the tool bar. When your video is on it is displayed as per the icon below.


If it is displayed with a diagonal red line through it (as shown below), this means your video is off and the instructor and other participants cannot see you. Your video needs to be always on throughout the seminar/session.


iPads show a slightly different view with the video completely in red and a red line through.


3) Manage Participants - This area allows you to check your name is displayed correctly and raise your hand to ask a question.


On a computer when you click on this icon a white section of the window will appear on the right-hand side of the screen with the participants names. If you haven’t set up a Zoom account, your name will appear as the name of your device followed by (me). Click on the name of your device and you will then be able to change the name.


3) Manage Participants - Changing your name

If you are on an iPad clicking on participants will open a screen as shown below. Just click on rename and follow the prompts.


3) Manage Participants - Raise your hand to ask a question.

On a computer once you click manage participants and the white window has opened on the right side of the screen, at the bottom you will see the words ‘Raise Hand’. Click on those words and this will alert Jacquie that you have a question. She will be able to see it on her screen and as soon as she can, she will answer it.


On an iPad you will see the same menu as shown on the previous page and again you just need to click on the ‘Raise Hand’ option.


4) Chat - This opens a box that you can type messages to Jacquie. If you are using a computer it will be on the bottom tool bar just click the icon to access the chat box. If you are using an iPad it will be under the ‘More' option on the top right tool bar - as shown below.


This will be unlocked by Jacquie to enable all participants to use it when appropriate during the course.

This is also the area where Jacquie can share files with you applicable to t) Gallery View - on a computer this will generally be at the top right of your screen.


If you are on an iPad this will generally be on the top left side of the screen as show below.

If you click on the gallery view you will then be able to see all participants in your main screen. In this mode the icon changes to read ‘Speaker View’, this just means click back on that to see Jacquie as the main image and participants will then be displayed in smaller boxes.
